Junior / Assistant Property Manager

Living Properties Inc. (“LPI”) is an established property management company with roots going back to 1983. LPI manages a wide portfolio of properties including residential and commercial condominiums buildings, freehold single-family homes (e.g., detached, towns, semis, apartments), and commercial properties including retail, industrial and office) across the Greater Toronto Area and Southern Ontario. LPI is seeking a motivated, proactive junior / assistant property manager to manage a premier retail condominium mall in Markham under the supervision of a Senior Property Manager with a General License (CMRAO). The position is full-time, and the start date is immediate.

Junior / Assistant Property Manager provides support services to the Senior Property Manager in the overall running of the site and exceptional customer service to owner, occupants, tenants, trades and other guests to the building.

Note that this position requires the Junior / Assistant Property Managers to hold a Limited License issued from the Condominium Management Regulatory Authority of Ontario (CMRAO). Without this, the Junior / Assistant Property Manager cannot perform any of the condominium management services outlined below, even under the supervision of a General or Transitional Licensee.

A successful candidate will:

-limited License (CMRAO) or “entry level” license

-fluency in English and Cantonese or Mandarin (written and oral)

-have 0-5 years of experience in property management

-be a team player

-have strong analytical skills

-strong time-management skills

-detail oriented and highly organized with ability to delegate

-skilled in negotiation and project management

-excellent critical thinking skills

-excellent Customer Service skills

-detailed oriented, organized and have strong time management skills

-demonstrates flexibility sound judgement;

-be dependable and take initiative.

-ability to establish strong relationships with owners, vendors coworkers etc.

-excellent computer skills

Preference will be given to candidates with a bachelor’s degree in the STEM fields (i.e., engineering) from a Canadian or American University.

Essential Duties and Responsibilities

-Prepare notices as needed.

-Address resident enquiries with courtesy and professionalism.

-Answer phone calls with courtesy, take messages or carry out functions if possible.

-Communicate with tradesperson when requested by the Senior Property Manager, prepare call.

-Summary and include all details for Property Manager.

-Review and summarize contracts for Senior Property Manager.

-Manage, implement and monitor invoicing system.

-Obtain mail and distribute accordingly.

-Review reports and highlight anything that requires the Senior Property Manager’s attention.

-Obtain all completed forms for filing, stamped received and send by fax or email to accounts receivable.

-Liaise between Senior Property Manager and Head Office staff.

-Copy agenda, manage reports, building inspection and other documents as required by the Senior Property Manager.

-Prepare packages for Board Members.

-Date stamp invoices and cheques when they are received.

-Enter cheques in the income intake report.

-Book elevators and deliveries and moves.

-Answer owners’ inquiries and requests.

-Provide status certificate request forms to owners.

-Update building information sheets as needed.

-Respond to emergency situations in timely manner.

-Other duties assigned.
